DUTIES OF THE ADMINISTRATIVE ASSOCIATE:

  • Handle incoming and outgoing communication, ensuring prompt and professional responses to inquiries and requests.
  • Oversee day-to-day office operations, ensuring a clean and organized workspace.
  • Archive monthly timesheet of all staff, trainees, and interns.
  • Assist in maintaining the leave record of women lead team.
  • Facilitate the staff benefits – i.e. accident insurance, medical and life insurance etc. in coordination with the Finance Coordinator. Assist employees with insurance benefit-related inquiries and concerns.
  • Record the office merchandise for programs and report monthly usage to the Finance Coordinator.
  • Maintain inventory of office supplies and program materials (regular purchases & store keeping).
  • Organize and secure all administrative filing, records and archiving of important documents (lease, contract, MOUs, registration certificates, procurement forms etc.)
  • Draft the contract of interns, trainees and resource person/facilitator of the particular program.
  • Ensure proper recording of fixed assets of the organization and support the Treasurer with the annual fixed asset review.
  • Provide administrative support to the Finance Coordinator.
  • Maintain good relationships and coordinate with vendors for the procurement of goods and services as needed.
  • Assist in maintaining petty cash.
  • Management of Chautara Resource Centre.

EXPERIENCE & QUALIFICATIONS:       

  • Completed +2 in Management or Humanities.
  • At least 1 – 2 years working experience in related fields.
  • A passion for young women’s empowerment.
  • Nepali & English Language proficiency.
  • Excellent written and oral communication skills.
  • Exceptional administrative and organizational skills that reflect the ability to prioritize multiple tasks seamlessly with excellent attention to detail.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, program participants and vendors.
  • Forward looking thinker, who proactively approaches problems with creativity and strong decision-making capability Able to remain focused in the face of pressure and not intimidated by tasks/time limitations.

This is a full-time position with a minimum contract duration of 2 years. The Administrative Associate will start in June 2024.
